1. Data Controller

Startup Europe India Network Limited ("SEIN", "we", "us"), a company registered in the United Kingdom, is the data controller for personal data processed through Rocknell.

2. Data We Collect

Account Information

When you sign up, we collect your name, email address, and profile picture (via Google OAuth or magic link sign-in). We also store your workspace membership and role.

Contact Data

You may import or create contact records including names, email addresses, phone numbers, job titles, company details, LinkedIn profiles, and other professional information. This data is stored within your workspace and is not shared across workspaces.

Synced Emails

If you connect an email account, we sync email messages (inbox and sent) via IMAP to provide email tracking, classification, and outreach features. Email credentials are encrypted at rest using Fernet symmetric encryption.

Calendar Data

If your email provider supports CalDAV (currently Zoho), we sync calendar events to surface upcoming meetings on your dashboard.

Contract & Billing Data

Contract details, invoices, and payment records you create are stored within your workspace. For paid subscriptions, we store your Stripe customer ID, subscription status, and plan details. We do not store credit card numbers - payment details are handled entirely by Stripe.

Usage & Analytics

We use PostHog to collect anonymous usage analytics including page views, feature usage, and performance metrics. This helps us improve the product. See our Cookie Policy for details.

3. Legal Bases for Processing (GDPR)

  • Contract: Processing your account data and contact data is necessary to provide the Service you signed up for.
  • Legitimate interest: Usage analytics to improve the Service, security monitoring, and fraud prevention.
  • Consent: Where we use optional analytics cookies or send marketing communications, we rely on your consent, which you may withdraw at any time.

4. How We Use Your Data

  • To provide, maintain, and improve the Service
  • To authenticate your identity and manage access
  • To sync and classify email communications
  • To enrich contact data (e.g. domain lookups, Apollo.io)
  • To send transactional emails (sign-in links, notifications)
  • To analyse usage patterns and improve the product

5. Third-Party Processors

We share data with the following processors to operate the Service:

  • Railway - Cloud hosting and infrastructure (EU/US)
  • Stripe - Payment processing for paid subscriptions (US/EU)
  • PostHog - Product analytics, routed via our domain (EU)
  • Resend - Transactional email delivery (US)
  • Google - OAuth authentication

The following processors are only used when you provide your own API key (BYOK) and enable the integration:

  • Apollo.io - Contact enrichment
  • RocketReach - Contact search and enrichment
  • OpenAI / Anthropic - AI email classification

All processors are bound by data processing agreements. We do not sell your personal data.

6. Data Retention

We retain your data for as long as your account is active. When you delete your account or workspace, we will delete your data within 30 days, except where we are required by law to retain it. Anonymised analytics data may be retained indefinitely.

7. International Transfers

Some of our processors are based outside the UK/EEA. Where data is transferred internationally, we ensure appropriate safeguards are in place, including Standard Contractual Clauses (SCCs) or adequacy decisions.

8. Your Rights

Under GDPR and UK data protection law, you have the right to:

  • Access - Request a copy of your personal data
  • Rectification - Correct inaccurate data
  • Erasure - Request deletion of your data
  • Portability - Receive your data in a structured, machine-readable format
  • Restriction - Request we limit processing
  • Objection - Object to processing based on legitimate interest
  • Withdraw consent - Where processing is based on consent

9. Security

We implement appropriate technical and organisational measures to protect your data, including encryption at rest and in transit, access controls, and regular security reviews.

10. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of material changes via email or in-app notice.
